# Fitnito Help Source: https://help.fitnito.com/llms-full.txt · Index: https://help.fitnito.com/llms.txt How-to guides for gym owners and the members who book with them. ## Sign up and sign in URL: https://help.fitnito.com/owners/getting-started/sign-up-and-sign-in Audience: owners · Category: getting-started Create a Fitnito gym, sign in at app.fitnito.com, and reset a forgotten password. Fitnito’s gym console lives at **app.fitnito.com**. Members never sign in there — they use your gym’s own site (see [Your booking site](/owners/booking-site/your-booking-site)). ## Create a gym 1. Open [fitnito.com/signup](https://fitnito.com/signup). 2. Enter your name, email, password, and gym name. Accept the terms. 3. After you create the account you land in the [setup chat](/owners/getting-started/set-up-your-gym). Your booking site subdomain is chosen during setup (or later in Settings). There is a free plan. You can run a small gym on it and [subscribe](/owners/your-account/your-fitnito-subscription) when you outgrow the limits. ## Sign in 1. Go to **app.fitnito.com/auth/login**. 2. Use the owner (or staff) email and password. 3. You land on the [dashboard](/owners/getting-started/your-dashboard), or on onboarding if setup is still in progress. ## Forgot your password On the sign-in page, choose **Forgot password**. We email a link to set a new one. Staff accounts reset the same way. ## Staff vs owner Everyone who works the desk signs in at the same app host. Owners see billing and settings; staff can run the day-to-day schedule and members. Add people under [Staff](/owners/gym-setup/staff-and-coaches). ## Set up your gym URL: https://help.fitnito.com/owners/getting-started/set-up-your-gym Audience: owners · Category: getting-started Use the onboarding chat to add a location, program, pass type, and your first classes. New gyms open on **Onboarding**. It is a chat with the Fitnito Assistant that creates real records as you talk — not a slideshow. ## What setup covers The checklist is the minimum to take a booking: 1. A **location** (the room or park you teach in). 2. A **program** (Strength, Yoga, Kids — whatever you call a class type). 3. A **pass type** so members have something that unlocks booking. 4. At least one **class** on the calendar. 5. A **booking site** subdomain so members have a URL. You can skip the chat and click through Locations, Programs, Pass types, and Sessions yourself. The checklist updates either way. ## Tips that save rework - Give each program a distinct color. The member week view paints classes with those colors. - Start with one location if you teach in one room. Parallel classes at the same time need a second location. - Decide now whether members will [buy online](/owners/payments/turn-on-fitnito-payments) or you will [assign plans by hand](/owners/passes-and-products/assign-memberships-yourself). You can change later. ## After the checklist is done Onboarding stays available, but day-to-day questions belong in the [Fitnito Assistant](/owners/getting-started/fitnito-assistant) from the nav. You can still add locations, programs, and classes the long way. ## Your dashboard URL: https://help.fitnito.com/owners/getting-started/your-dashboard Audience: owners · Category: getting-started What you see when you sign in to the gym console, and what to do first. When you sign in at **app.fitnito.com**, the dashboard is home. It is built for a quick look at today, not a report warehouse. ## What you will see - **Today’s classes** — who is coaching, how full each class is, and a link into the session. - **Members to follow up** — people whose punch card is running low or has run out. Handy if you bill outside Fitnito and still need to sell the next pack. - **Shortcuts** into Clients, Sessions, and the Assistant. Click a class to take attendance or add a walk-in. Click a member to open their profile and grant a pack or assign a plan. ## If the dashboard looks empty A new gym will look quiet until you add a location, a program, a pass type, and at least one class. The [setup chat](/owners/getting-started/set-up-your-gym) walks through that, or do it by hand from the left nav. ## Related Owners who take card payments will also see paying members and invoices under **Products** and **Payments**. The dashboard itself stays the same either way — it is about the day, not the ledger. ## The Fitnito Assistant URL: https://help.fitnito.com/owners/getting-started/fitnito-assistant Audience: owners · Category: getting-started Ask the gym console questions in plain English — who is booked, who is low on visits, add a member. The **Assistant** is a chat inside the gym console. It can look up the schedule, add a member, check who is low on visits, and fix everyday capacity problems. It uses your real data. ## Open it Choose **Assistant** in the left nav. Conversations stay on the gym until you clear the session. ## Good things to ask - “Who is coming to tomorrow’s 6 AM?” - “Add a member: Priya Nair, priya@example.com” - “Is anyone running low on their pass?” - “Schedule a Saturday 9 AM Strength class with Jordan, capacity 12.” The Assistant will confirm what it did. Check Sessions or Clients if you want to see the record. ## What it will not do It does not change your Fitnito subscription or talk to Stripe for you. For billing product questions, start with [Fitnito Payments](/owners/payments/turn-on-fitnito-payments) or [your Fitnito plan](/owners/your-account/your-fitnito-subscription). ## Human help If you get stuck, you can ask the Assistant to escalate to Fitnito support, or write to us from [fitnito.com/support](https://fitnito.com/support). ## Add and find members URL: https://help.fitnito.com/owners/members/add-and-find-members Audience: owners · Category: members Create a member, search the list, and open their profile. Members live under **Clients** in the gym console. Each person has a profile, passes, optional family links, and (if you take card payments) memberships and invoices. ## Add a member 1. Open **Clients** → **Add**. 2. Enter first name, last name, and email. A password is set when they first sign in or when you send a welcome email. 3. Save. You land on their profile. You can also ask the [Assistant](/owners/getting-started/fitnito-assistant) to add someone by name and email. If **self-signup** is on, people can create their own account on your booking site. Those members show up in the same list. See [Self-signup and the booking window](/owners/booking-site/self-signup-and-booking-window). ## Find someone The Clients page has search. Type a name or email. Filters help when you want everyone, or a smaller set. Open a row to see passes, family, and the actions to [assign a membership](/owners/passes-and-products/assign-memberships-yourself) or [grant a visit pack](/owners/passes-and-products/grant-visit-packs-yourself). ## Kids without an email Parents can add children by name (no child login). Those kids appear as members too, usually linked as dependents. Staff can also [link families](/owners/members/family-and-dependents). ## Family and dependents URL: https://help.fitnito.com/owners/members/family-and-dependents Audience: owners · Category: members Link a parent to kids or a partner so one login can book for the household. A **dependent** is another member that this person can book for — usually a child. Parents manage a lot of this themselves; staff can also create or remove links. ## How linking works - **Parent creates a kid by name** (self-signup) — the link is approved immediately. No child email. - **Link an existing member by email** — that person gets an email and must approve (adult dependents). - **Staff creates a link** from **Clients → (member) → dependents**. Staff can also remove a link. Members cannot remove a link themselves; they ask the front desk. ## What the parent can do Once approved, the parent can switch “who I am booking for” on the schedule, see family attendance, and (when Fitnito Payments is on) optionally pay the dependent’s charges on one card. ## What you still control Memberships and visit packs stay on each person. A kid needs their own pass or a plan that grants one. Assign those from the kid’s profile, or let the parent buy online if you use [Fitnito Payments](/owners/payments/turn-on-fitnito-payments). Set the gym default for “who members book for” under [Settings](/owners/your-account/gym-settings) — me + people I manage, or only people I manage (youth programs often want the second). ## Welcome emails and password resets URL: https://help.fitnito.com/owners/members/welcome-emails-and-passwords Audience: owners · Category: members Send a welcome email, copy a sign-in link, or reset a member’s password from their profile. When you add someone by hand they do not automatically know how to sign in. Use the actions on their profile. ## Welcome email On the member profile, send a **welcome email**. It includes a link to your booking site. You can also copy the **welcome link** and text it yourself. ## Password reset If they are locked out: 1. Open the member. 2. Choose **password reset**. 3. Send the email, or copy the link. They set a new password and land on your booking site — not the owner console. ## Onboarding status The profile shows whether they have confirmed and signed in. Useful when you are chasing a parent who never finished signup. Do not share owner-console URLs with members. Their home is `{your-gym}.fitnito.com`. ## Create a class URL: https://help.fitnito.com/owners/schedule/create-a-class Audience: owners · Category: schedule Add a one-off session, or tick “repeats weekly” on the same form. 1. Go to **Sessions → New**. 2. Pick the **program**, **location**, **start/end**, **capacity**, and optional **coach**. 3. Leave **Repeat this session every week** off for a one-off (a workshop, a sub, a holiday special). 4. Tick it and choose days for a weekly class. Those days show on the Weekly Schedule tab. Later: edit the weekly class to change every upcoming week (coach, time, days). Edit one date on the calendar to change that day only. ## Make an existing class weekly Open a one-off session and use **Make Weekly** to turn it into a repeating series. Generated sessions link back to that weekly class. ## Capacity Capacity is a hard cap on the booking site. Staff can still force a walk-in from the session page when you want to overfill. ## Coach Only people with the staff role appear as coaches. Add them under [Staff](/owners/gym-setup/staff-and-coaches). You can leave coach blank (open gym, unsupervised block). ## Sessions and the weekly schedule URL: https://help.fitnito.com/owners/schedule/sessions-and-the-week Audience: owners · Category: schedule Upcoming, All, and Weekly Schedule live on one Sessions page. **Sessions** is the whole calendar. There is no separate “recurring sessions” section anymore. ## The three tabs - **Upcoming** — what is next, good for the front desk today. - **All** — every session, including the past. - **Weekly Schedule** — Monday–Sunday grid of classes that repeat each week. Open any session to see the roster, add or remove an attendee, and check [Booking Access](/owners/schedule/booking-access) — which pass types and products can book it. ## Times and rooms Session times are the gym’s wall-clock time. Two classes cannot overlap at the same location. If you run two rooms at 6 AM, add a second [location](/owners/gym-setup/locations). ## Attendance On a session, add a walk-in or remove a booking. Adding someone punches their pass when the pass is per-visit. Unlimited passes just need to be enabled. ## Weekly classes URL: https://help.fitnito.com/owners/schedule/weekly-classes Audience: owners · Category: schedule The Weekly Schedule tab, editing a series, and how generated sessions behave. Weekly classes are the skeleton of the calendar. Members see the generated sessions on your booking site, not the template itself. ## Edit a series Open **Sessions → Weekly Schedule**, then open the weekly class and click **Edit**. Change time, days, coach, or capacity, then save. That save updates the weekly class **and every upcoming date** on the calendar, including classes already created. Past dates stay as they were. ## Change one date only Open that day’s class from the calendar (or from Upcoming Sessions). The blue banner says changes apply to this date only. Next week stays on the weekly coach. ## Delete a weekly class On the weekly class, use **Delete**. Empty upcoming dates are removed. Dates that already have bookings stay on the calendar as one-off classes so those members keep their spot. Unchecking every day on the weekly form also takes the class off future weeks; leftover empty dates are cleared when you save. Delete is the clean way to retire the series. ## Season start You can hide weekly classes from the public booking site until a date (useful for a fall season). Set **First day** on the weekly class. Members will not see those slots until the date. ## One-off vs weekly A workshop should be a one-off session. A Tuesday 6 PM that never ends should be weekly. Mixing them on the same form keeps the calendar honest. If two weekly classes collide at one location, Fitnito will refuse the overlap. Split rooms with a second location. ## Who can book a class URL: https://help.fitnito.com/owners/schedule/booking-access Audience: owners · Category: schedule Booking Access shows which pass types and products unlock a session. Not every member can book every class. Access comes from **pass types** tied to **programs**, and from the **memberships or visit packs** that grant those pass types. ## Open Booking Access On a session (or from the weekly class), open **Booking Access**. You will see: - Which **pass types** can book this program. - Which **products** (membership plans and visit packs) grant those pass types. Change the program’s pass types if the wrong people can book. Change the product if a plan should include a different class type. ## Typical setups - **One punch card for everything** — one pass type linked to every program. - **Yoga vs Strength** — two pass types, each linked to its programs. A yoga membership cannot book strength. - **Kids only** — a kids program with a kids pass type. Adults never see those slots as bookable. Staff can still add an attendee from the session page when you want to override. ## Locations URL: https://help.fitnito.com/owners/gym-setup/locations Audience: owners · Category: gym-setup Rooms, parks, and additional sites — each with a timezone. A **location** is a place you teach. One-room gyms have one. Multi-site or two-room gyms add more. ## Add a location **Locations → New**. Name it the way members would (“The Boathouse”, “Studio B”, “Beach Park”). Set the timezone — session times are stored as local wall-clock time for that gym. ## Overlaps Two sessions at the **same location** cannot overlap. Two sessions at **different locations** can. If you run a 6 AM on the main floor and a 6 AM in the annex, they need two locations. ## Free plan The free Fitnito plan allows one location. Subscribe when you need more — see [Your Fitnito subscription](/owners/your-account/your-fitnito-subscription). ## Programs URL: https://help.fitnito.com/owners/gym-setup/programs Audience: owners · Category: gym-setup Class types (Strength, Yoga, Kids) and the colors members see on the week view. A **program** is a kind of class: Strength & Conditioning, Sunrise Mobility, Kids Jiu-Jitsu. Sessions belong to one program. ## Add a program **Programs → New**. Give it a name and a hex color. Distinct colors make the member week view readable. ## Why programs matter - Pass types unlock **programs**, not individual sessions. - Booking Access on a class follows the program’s pass types. - Coaches and members talk in program names (“I’m in HIIT”). Keep the list short. Four or five programs is plenty for most independent gyms. Rename freely — existing sessions keep the new name. ## Staff and coaches URL: https://help.fitnito.com/owners/gym-setup/staff-and-coaches Audience: owners · Category: gym-setup Invite the people who run the desk and appear as coaches on classes. **Staff** are people who sign in to the gym console. Anyone you want in the coach dropdown needs the staff role. ## Add staff 1. **Staff → New**. 2. Name, email, password (they can reset later). 3. They sign in at **app.fitnito.com**, same as you. Owners also need the staff role if they coach — the demo gyms do this so the owner appears as a coach. ## What staff can do Run Sessions, Clients, attendance, and the Assistant. Owners keep gym Settings, Fitnito billing, and Payments connect. ## Remove access Open the staff member and disable or edit them when someone leaves. Their old classes keep the historical coach name. ## Assign a membership yourself URL: https://help.fitnito.com/owners/passes-and-products/assign-memberships-yourself Audience: owners · Category: passes-and-products Put a member on a plan from their profile when you bill outside Fitnito, or to comp access. Not every gym collects cards through Fitnito. Plenty of owners invoice, take e-transfer, or run a different processor. You can still give people the right access. ## Self-billing gyms (Fitnito Payments off) 1. Create a [membership plan](/owners/payments/membership-plans) under Products. No Stripe price needed. 2. Open the member → assign the plan. 3. Fitnito records an **active membership billed outside Fitnito** and enables the pass **immediately**. You collect the money yourself. Canceling that membership on the profile ends it now and disables the passes. ## Fitnito Payments gyms Assigning a **paid** plan creates a Stripe subscription and emails the member an invoice. Access unlocks when they pay — not at the moment you click assign. Free ($0) plans still grant immediately, no Stripe. If Stripe Connect is not finished, paid assign is blocked (a local row would never invoice). Finish [connecting payments](/owners/payments/turn-on-fitnito-payments) first. A member can only have one live membership at a time. ## Grant a visit pack yourself URL: https://help.fitnito.com/owners/passes-and-products/grant-visit-packs-yourself Audience: owners · Category: passes-and-products Top up a punch card from the member profile when they paid you at the desk. A **visit pack** is a one-time punch-card product (“10 visits for $120”). Granting it adds those visits to the member’s pass and makes sure the pass is on. ## When to grant by hand - They paid cash or e-transfer at the desk. - You are comping makeup visits. - Fitnito Payments is off, so nobody can buy online. Open the member → **grant visit pack** → pick the pack. Visits are added on top of whatever they had left. ## When they buy online If Payments is on, members buy packs on your booking site. The payment webhook grants the visits. You still use this button for desk sales and comps. Create packs under Products — see [Visit packs for sale](/owners/payments/visit-packs-for-sale). ## Member passes URL: https://help.fitnito.com/owners/passes-and-products/member-passes Audience: owners · Category: passes-and-products See who holds which pass, add or subtract visits, and enable or disable access. **Passes** is the live access list. Each row is a member’s pass of a given type. ## Add or subtract visits Open a per-visit pass. **Add visits** when you sold them a pack at the desk or comped a makeup. **Subtract visits** if you need to correct a punch. Unlimited passes do not use a visit count — enable or disable them instead. ## Enable and disable Disabling a pass stops booking immediately. Use this when a membership ends, a cheque bounces, or someone is on pause. Enabling it restores access. When you [assign a membership](/owners/passes-and-products/assign-memberships-yourself) or they pay through [Fitnito Payments](/owners/payments/turn-on-fitnito-payments), Fitnito enables (or tops up) the pass for you. You still use this screen for corrections. ## Low visits The dashboard calls out members who are almost out. That list is the nudge to sell the next pack — especially if you bill outside Fitnito. ## Pass types URL: https://help.fitnito.com/owners/passes-and-products/pass-types Audience: owners · Category: passes-and-products Unlimited memberships vs punch cards, and which programs they unlock. A **pass type** is the rule: what kind of access is this, and which programs does it open? ## Two flavors - **Unlimited** — while the pass is enabled, they can book those programs. - **Per-visit** (punch card) — each booking uses a visit. When visits run out, they cannot book until you add visits or they buy another pack. ## Create one **Pass types → New**. Name it (“10-Class Pass”, “Unlimited Membership”). Tick **unlimited** or leave it as a punch card. Attach the programs it should unlock. You can open a pass type to see which members currently hold it. ## Pass types vs products The pass type is the *access rule*. A **product** (membership plan or visit pack) is how that access is sold or assigned. One pass type can be granted by several products — a monthly unlimited plan and a complimentary staff plan can share the same unlimited pass type. ## Products URL: https://help.fitnito.com/owners/passes-and-products/products Audience: owners · Category: passes-and-products Membership plans and visit packs — the catalog you assign or sell. **Products** is the catalog: membership plans (recurring) and visit packs (one-time punch cards). Every gym has this page, including gyms that never turn on Fitnito Payments. ## Two ways a product gets onto a member 1. **You assign it** from the member profile. Gyms that invoice or collect cash do this for everything. Payments gyms still do it for comps and special cases. 2. **The member buys it** on your booking site. That only works when [Fitnito Payments](/owners/payments/turn-on-fitnito-payments) is on and the product has a live Stripe price. ## Draft vs ready A product without a Stripe price is a draft. Self-billing gyms can still assign drafts. Payments gyms need a Stripe price before members can buy, or before staff can assign a paid plan through Stripe. ## Discount codes If Payments is on and you allow promotion codes in Settings, Products grows a **Discount codes** tab. Codes themselves live in your connected Stripe account — Fitnito lists the valid ones. ## Discount codes URL: https://help.fitnito.com/owners/payments/discount-codes Audience: owners · Category: payments Optional Stripe promotion codes at member checkout, listed on Products. Discount codes are **off** until you want them. Checkout stays simple. ## Turn them on 1. Finish [Fitnito Payments](/owners/payments/turn-on-fitnito-payments) (members must be able to pay). 2. **Settings → Payments** → allow promotion codes at checkout. 3. Create coupons and promotion codes in the **connected Stripe account** (the gym’s Stripe, not Fitnito’s). 4. Open **Products → Discount codes** to see the valid ones. Fitnito does not keep a local copy — the tab reads Stripe. Members type the code on Checkout. Staff do not need to enter it for them. ## When you will not see the tab Payments off, Stripe not finished, or the Settings toggle still off. All three are required. ## Invoices and refunds URL: https://help.fitnito.com/owners/payments/invoices-and-refunds Audience: owners · Category: payments See what members paid, open a payment, and refund it. **Invoices** lists money collected through Fitnito Payments. Each row is a membership invoice or a one-off pack charge. ## Open a payment Click a row for amounts, the member, and links to the Stripe receipt or invoice (hosted on Stripe). Refunds you make here show as refunded or partially refunded. ## Refund On the invoice, **Refund**. Fitnito talks to Stripe (including the platform fee share). The member’s hosted invoice and customer portal update too. Refunding a membership payment does not always cancel the subscription — cancel the membership on the member profile or have them use the billing portal if they should stop renewing. ## Self-billing gyms If you never turned on Payments, this list stays empty. Your money lives in whatever system you invoice with. Access still lives on [Passes](/owners/passes-and-products/member-passes). ## Membership plans URL: https://help.fitnito.com/owners/payments/membership-plans Audience: owners · Category: payments Recurring products — monthly or yearly, which passes they grant, and deferred first charge. A **membership plan** is a recurring product. While it is live, it grants one or more pass types (unlimited and/or visit top-ups each period). ## Create a plan 1. **Products → New membership plan**. 2. Name, price, currency, and interval (month is typical). 3. Attach at least one pass type — a plan with no pass cannot book anything. 4. Save. On a Payments gym, Fitnito creates the Stripe product/price so members can subscribe. On a self-billing gym, skip Stripe; [assign the plan](/owners/passes-and-products/assign-memberships-yourself) from the profile. ## Deferred first charge For a season start, set **billing starts on** a calendar date. The member’s card and rate lock at signup; the first real charge waits for that day. Booking access waits until that payment succeeds. Copy on the member site says “First charge September 9”, not “trial”. ## Free plans A $0 plan is a comp. It never goes through Stripe. Assigning it enables the pass immediately. ## Turn on Fitnito Payments URL: https://help.fitnito.com/owners/payments/turn-on-fitnito-payments Audience: owners · Category: payments Connect Stripe, enable member billing, and start collecting membership and pack fees. **Fitnito Payments** is optional. When it is on, members buy memberships and visit packs on your booking site. Money deposits to **your** bank via Stripe Connect. Fitnito takes a small platform fee. When it is off, you still assign plans and grant packs by hand. That is the self-billing path. ## Turn it on 1. Open **Billing** or **Payments** in the console (Fitnito Payments). 2. **Connect Stripe** and finish Stripe’s onboarding (identity, bank account). `charges_enabled` flips on when Stripe is ready. 3. **Enable** collecting payments from members. Both steps are required. Connected-but-not-enabled, or enabled-but-Stripe-pending, means members cannot check out and staff cannot assign a paid plan through Stripe. ## What members see after Your booking site grows **Memberships** and **Billing**. They can subscribe, buy a pack, save a card, and open Stripe’s customer portal. See the member guide: [Buy a membership or pass](/members/memberships/buy-a-membership-or-pass). ## What you see after - Products can be purchased (they need a Stripe price). - [Invoices](/owners/payments/invoices-and-refunds) list payments and refunds. - Optional [discount codes](/owners/payments/discount-codes). Payouts follow Stripe’s schedule to the bank you connected. Fitnito does not hold your member fees in our account. ## Visit packs for sale URL: https://help.fitnito.com/owners/payments/visit-packs-for-sale Audience: owners · Category: payments One-time punch-card products — how many visits, which pass type, what they cost. A **visit pack** is bought once. Completing the purchase (or granting it at the desk) adds `visit_count` to the member’s pass of that type. ## Create a pack 1. **Products → New visit pack**. 2. Name (“10-Class Pass”), price, how many visits, and which pass type those visits apply to. 3. Save. Members only see packs they can actually buy: Payments is on, the pack has a Stripe price, and the price is not $0. Free packs are staff grants. ## Top-ups stack Buying two 10-packs means 20 visits (plus whatever was left). Each completed purchase adds another batch. Stripe retries do not double-grant. ## Logo and page copy URL: https://help.fitnito.com/owners/booking-site/branding-and-page-copy Audience: owners · Category: booking-site Branding and the words on Home, Family, and the other booking-site pages. **Content** is the booking site’s look and words. It is not global Settings. ## Branding **Content → Branding** to upload a logo (PNG, JPEG, WebP, or GIF, under 5 MB). The logo shows on the public landing, sign-in, and the signed-in chrome. ## Page copy Each page key (Home, Family, and the tip slots) has its own edit screen. Home headline and tagline are what visitors see before they sign in. Tips are the short blurbs on signed-in pages. If you leave Home blank, Fitnito falls back to the gym name. ## Help videos Some pages accept an optional help URL if you want to point parents at your own orientation video. ## Self-signup and the booking window URL: https://help.fitnito.com/owners/booking-site/self-signup-and-booking-window Audience: owners · Category: booking-site Let people create their own account, how far ahead they can book, and where they land after login. These switches live in **Settings** (booking site section). ## Self-signup On by default for new gyms. Parents can create an account and add kids by name with no child email. Turn it **off** for invite-only gyms — then only people you add under Clients can sign in. ## Booking window **Booking horizon** is how many days ahead a member can book. `0` means unlimited. A 14-day window is common. ## After login Choose where signed-in members land: **Smart** (schedule, or Family for youth-style parents who have no dependents yet), **Schedule**, **Family**, or **Home**. ## Who they book for **Default books for self** — parents book themselves *and* kids, or (unticked) only the people they manage. Youth programs often want “only kids”. ## Your booking site URL: https://help.fitnito.com/owners/booking-site/your-booking-site Audience: owners · Category: booking-site Every gym gets a site at your-subdomain.fitnito.com where members book. Your public gym site is **`{subdomain}.fitnito.com`**. That is where members sign in, see the week, and book. You pick the subdomain in Settings (or during setup). ## What members get - A landing page (headline, tagline, your logo). - Sign in / self-signup (if you allow it). - Schedule in list, day, and week views. - Family, memberships, and billing — depending on how you run the gym. ## Share the right URL Put `{subdomain}.fitnito.com` on your Instagram and your physical sign. Do not send members to app.fitnito.com — that login is for staff. Change the subdomain under [Gym settings](/owners/your-account/gym-settings). Pick something people can type. You can check availability from Settings. ## Email notifications URL: https://help.fitnito.com/owners/your-account/notifications Audience: owners · Category: your-account Opt in to an email when someone signs up, or when they pay for a plan or pack. Owner emails are **opt-in**. Both start off so we do not surprise you. ## What you can turn on - **Someone created a member account** — self-signup or a new login. Useful when you want to welcome people the same day. - **Someone paid for a membership or visit pack** — paid purchases only, not free trials or deferred first charges that have not collected yet. Emails go to the **account owner**. ## Where to flip them **Settings → Notifications**. No extra product to buy. ## Gym settings URL: https://help.fitnito.com/owners/your-account/gym-settings Audience: owners · Category: your-account Name, subdomain, currency, notifications, and the booking-site switches. **Settings** is the gym, not the booking-site copy (that is [Content](/owners/booking-site/branding-and-page-copy)). ## You can change - Gym name and website URL. - Subdomain (`{subdomain}.fitnito.com`) — check availability before you save. - Default currency for products. - [Self-signup, booking window, login destination](/owners/booking-site/self-signup-and-booking-window). - [Notifications](/owners/your-account/notifications). - [Payments](/owners/payments/turn-on-fitnito-payments) and the discount-code toggle. - [AI agent access](/owners/advanced/connect-ai-agents). Staff can work the day without opening Settings. Keep the owner password to yourself if you do not want anyone else changing the subdomain or billing. ## Your Fitnito subscription URL: https://help.fitnito.com/owners/your-account/your-fitnito-subscription Audience: owners · Category: your-account The plan you pay Fitnito for — free, monthly, or yearly. Not the same as member payments. **Billing** (your Fitnito plan) is what *you* pay us. **Fitnito Payments** is what *members* pay *you*. Start free; subscribe when the limits pinch. ## Subscribe Open **Billing** (or Subscriptions) → monthly or yearly. Checkout is Stripe. After success you are on the paid plan. ## Manage Use the Stripe customer portal link on the same page to update the card or cancel. Canceling returns the gym to free-plan limits; your members and schedule stay put. Member payouts are unrelated — those are on [Fitnito Payments](/owners/payments/turn-on-fitnito-payments). ## Connect an AI agent (MCP) URL: https://help.fitnito.com/owners/advanced/connect-ai-agents Audience: owners · Category: advanced Let Claude or another agent operate your gym through Fitnito’s MCP server. Fitnito speaks **MCP** (Model Context Protocol). An external agent can build a schedule, manage members, and set up products with a token you issue. This is optional — most owners never need it. ## Turn it on 1. Go to **Settings → AI Agent Access** (or Settings → MCP). 2. Enable agent access. 3. Create a token. Copy it once; we do not show it again. 4. Point the agent at **https://mcp.fitnito.com/** with that Bearer token. OAuth connectors (Claude, ChatGPT) can also authorize against **app.fitnito.com**. Developer notes live on [fitnito.com/developers](https://fitnito.com/developers). ## What an agent can do The same kinds of things the in-app Assistant can: schedule, members, passes, programs, booking, and products. It acts as your gym, not as Fitnito platform admin. ## Safety - Treat the token like a password. Revoke it under Settings if it leaks. - Disable MCP entirely if you are not using it. - Tokens are per gym. A member of another gym cannot reach yours. This is for owners and staff who want an external agent. Members do not get MCP access. ## Your gym’s booking site URL: https://help.fitnito.com/members/getting-started/your-gyms-booking-site Audience: members · Category: getting-started Classes are booked on your gym’s own Fitnito page, not on a shared app store listing. Your gym has its own website on Fitnito, usually **`something.fitnito.com`**. That is where you book. There is no single Fitnito member app to install. ## How to find it Ask the front desk, check the gym’s Instagram or email, or use the link in a welcome message. Bookmark it. You will **not** sign in at app.fitnito.com — that page is for gym staff. ## First visit If the gym allows it, you can create an account from the landing page. Otherwise they will add you and send a welcome email. Open the gym’s Fitnito site. 2. Choose **Sign up**. 3. Your name, email, and a password. Parents can add children by **name** after that — kids do not need an email or password. See [Add kids and family](/members/family/add-kids-and-family). ## The gym added you Open the welcome email (or the link they texted) and set your password. Then sign in on the gym’s site. ## Invite-only gyms Some gyms turn self-signup off. You will not see a sign-up form. Ask the desk to add you and send a welcome link. ## Sign in and reset your password URL: https://help.fitnito.com/members/getting-started/sign-in-and-password Audience: members · Category: getting-started Log in on the gym’s site, use a magic link, or request a new password. 1. Open **your gym’s** Fitnito site (not app.fitnito.com). 2. **Sign in** with email and password. ## Forgot the password Choose **Forgot password**, enter your email, and use the link we send. You will set a new password on the gym’s site. If the gym sent a **magic login** link (from a welcome or reset email), that link signs you in once and may ask you to pick a password. ## After you sign in Depending on how the gym set things up, you land on the schedule, Home, or Family. You can always open the schedule from the nav. ## Book for your kids URL: https://help.fitnito.com/members/booking/book-for-your-kids Audience: members · Category: booking Switch to a child and take a spot on their pass. If you manage kids or a partner as dependents, the schedule has a switcher: **you** or **them**. 1. Add the child first — [Add kids and family](/members/family/add-kids-and-family). 2. Choose them in the switcher. 3. Book the class. It uses **their** pass, not yours. Some gyms are set so you only book for people you manage (common for youth programs). You will not see a “book me” option in that case. You can turn booking emails on or off per child from Family. ## Cancel or change a booking URL: https://help.fitnito.com/members/booking/cancel-or-change-a-booking Audience: members · Category: booking Drop a class you are on, and how to pick a different one. Open the class you are booked into (from the schedule or from your attendance). Cancel from that screen. The spot opens for someone else. ## Punch cards Canceling usually gives the visit back when the gym’s rules allow it (before the class has started). If a visit did not return, ask the desk — they can add a visit by hand. ## Switching classes Cancel the first one, then book the second. There is no “move me” button. ## Late or already started Once a class has started you typically cannot cancel online. Talk to the coach or the desk. ## Find and book a class URL: https://help.fitnito.com/members/booking/find-and-book-a-class Audience: members · Category: booking Use list, day, or week view, open a class, and take a spot. Open **Schedule**. You can switch **list**, **day**, and **week**. Week view is the one that looks like a calendar; list is easier on a phone. ## Book a spot 1. Tap a class. 2. Confirm you (or the family member you are booking for) want in. 3. If you have a valid pass for that program and the class is not full, you are booked. A punch card uses one visit. An unlimited membership just needs to be active. ## If you cannot book - The class is full. - It is outside the gym’s booking window (too far ahead). - You do not have a pass for that program — ask the desk, or [buy a plan or pack](/members/memberships/buy-a-membership-or-pass) if the gym takes cards. - You are looking at the wrong person — switch [who you are booking for](/members/family/who-youre-booking-for). Staff can still add you from their side if they want a walk-in. ## Add kids and family URL: https://help.fitnito.com/members/family/add-kids-and-family Audience: members · Category: family Create a child by name, or link an existing member by email. Open **Family** (or Dependents). ## Add a child by name Use **add someone by name**. First name, last name, optional birthday. No email, no password. They are linked to you immediately. The gym still sees them as a member and can put a pass on their profile. ## Link someone who already has an account Use **link existing member** and enter their email. They get a message and must approve. Use this for a partner or a teen who already signs in themselves. You cannot remove a link yourself — ask the front desk if a family situation changes. ## Paying for them If the gym uses Fitnito Payments, you can choose to pay a dependent’s charges on your card. That toggle lives on the dependent. The schedule acts as **one person at a time**. The switcher at the top picks you or a dependent. ## Gym default Some gyms let you book yourself *and* your kids. Youth-focused gyms flip a setting so members only book **people they manage** — the parent is not expected to take a kids class. If the switcher is missing, you do not have any approved dependents yet. ## Attendance Family views can show what you and your kids are attending. Profile also summarizes it. ## Buy a membership or pass URL: https://help.fitnito.com/members/memberships/buy-a-membership-or-pass Audience: members · Category: memberships When the gym uses Fitnito Payments, subscribe or buy a punch card on the Memberships page. This page applies when your gym collects cards through Fitnito. If you do not see Subscribe or Buy, they bill another way — pay the desk and they will turn your pass on. ## Subscribe to a plan 1. Open **Memberships**. 2. Pick a plan. 3. Checkout is Stripe (card form on Stripe’s page). You return to the gym site when you are done. Access unlocks after the payment succeeds. If the plan has a **first charge** date (season start), the card is saved now and you book after that charge. You can only have one live membership. Cancel or wait it out before switching. ## Buy a punch card Same page, **buy a pass**. One-time charge. Visits land on your pass after payment. ## Discount codes If the gym allows them, Checkout has a box for a promotion code. Ask the desk for the code — they create it in Stripe. ## Your memberships and passes URL: https://help.fitnito.com/members/memberships/your-memberships-and-passes Audience: members · Category: memberships What you have, what it unlocks, and when it runs out. **Memberships** shows the plan you are on (if any) and the punch cards the gym sells. ## Unlimited plan While it is active you can book the programs it includes. If it says **first charge on** a date, the gym is waiting to bill until season start — you cannot book until that payment goes through. If it says **ending**, you keep access until the date shown, then it stops. ## Punch cards A visit pack adds visits to a pass. The number left is what you can still book. When it hits zero, buy another pack or ask the desk to grant one. ## Gyms that do not take cards online You will still see what you have. You will not see a buy button. The desk assigns a plan or grants a pack after you pay them however they collect. ## Billing and your card URL: https://help.fitnito.com/members/account/billing-and-your-card Audience: members · Category: account Saved card, payment history, and Stripe’s customer portal — only when the gym uses Fitnito Payments. **Billing** appears when your gym takes Fitnito Payments. Otherwise you pay the gym directly and this page will not have card tools. ## What you will see - A saved card, if you have one. - Payment history (membership invoices and pack purchases). - **Manage** — Stripe’s customer portal, to update the card or download invoices. ## Household card If you pay for a kid or partner, their charges can use your card. Toggle that on Family for each dependent. They still have their own membership; you are just the payer. ## Save a card without buying **Save card** starts a Stripe flow that stores the card for later (season start, or a kid’s plan). Never send card numbers to the gym by email. Use this page or Checkout. ## Your profile URL: https://help.fitnito.com/members/account/your-profile Audience: members · Category: account Fix your name and email, see dependents, and review what you are attending. **Profile** is you: name, email, and a summary of dependents and attendance. ## Edit **Edit** to change your name or email. Use an email you actually read — password resets and family approval go there. ## Booking preference Some gyms let you choose whether you book for yourself, or only for people you manage. That control is on the profile when the gym allows it. ## Password Change your password from the account/auth screens (forgot password if you cannot sign in). Profile itself is details, not the password form.
